This policy explains how VAIROK LTD collects and uses your personal data when you visit vairok.com, buy from us, sign up to our newsletter or contact us.

1. Who is responsible for your data

2. What data we collect

  • Order data: your name, email address, delivery and billing addresses, phone number if you give one at checkout, the products you buy and your order history.
  • Payment data: payments are processed by Shopify Payments, PayPal or Klarna. We do not see or store your full card details.
  • Account data: if you create a customer account, your login details and saved addresses.
  • Communications: the emails and messages you send us, for example about an order or a return.
  • Newsletter: your email address and your consent, if you subscribe.
  • Reviews: your name, rating, comments and any photos you choose to publish.
  • Device and usage data: IP address, browser, device type and pages visited, collected through cookies and similar technologies (see section 10).

3. Why we use your data and on what legal basis

  • To process, ship and deliver your order, handle returns and provide customer service – performance of a contract with you.
  • To keep invoices, accounting and tax records – compliance with a legal obligation.
  • To prevent fraud and keep the website and payments secure – our legitimate interests.
  • To ask you for a review after your purchase and publish the reviews you submit – our legitimate interests. You can opt out of review requests at any time.
  • To send you our newsletter and offers – your consent, which you can withdraw at any time using the unsubscribe link in every email.
  • To measure how the website is used and to show you advertising on Meta (Facebook and Instagram) and Google – your consent, given through the cookie banner.

4. Who we share your data with

We only share your data with the service providers we need to run the shop:

  • Shopify, which hosts our online shop and processes data on our behalf, including payments through Shopify Payments.
  • PayPal and Klarna, when you choose to pay with them. They process your data under their own privacy policies; Klarna may carry out identity and credit checks for its payment options.
  • Carriers and shipping service providers, who receive your name, delivery address, email address and, if given, phone number so they can deliver your parcel and send you tracking updates.
  • Klaviyo, which sends our newsletter and emails.
  • Judge.me, which collects and displays product reviews.
  • Meta and Google, for analytics and advertising, only if you have given your consent.
  • Our accountants and advisers, and public authorities when the law requires it.

We do not sell your personal data.

5. International transfers

Some of these providers process data outside the United Kingdom and the European Economic Area, for example in the United States or Canada. In those cases, the transfer is protected by an adequacy decision (such as the EU–US Data Privacy Framework and its UK extension) or by standard contractual clauses approved by the European Commission and the UK authorities.

6. How long we keep your data

  • Order, invoice and accounting records: for as long as tax and accounting law requires (generally six years).
  • Customer account: until you ask us to close it.
  • Newsletter: until you unsubscribe.
  • Customer service emails: for as long as needed to deal with your request and any related claim.
  • Reviews: while they are published on the website, or until you ask us to remove them.
  • Cookies: for the period shown in the cookie banner, or until you delete them.

7. Your rights

You have the right to access your data, to have it corrected or deleted, to restrict or object to its use, to receive it in a portable format and to withdraw your consent at any time. To exercise any of these rights, email info@vairok.com. We may ask you to confirm your identity, and we will reply within one month.

If you are not happy with how we handle your data, you can complain to the Information Commissioner's Office in the United Kingdom (ico.org.uk) or to the data protection authority of the EU country where you live.

8. Children

Our shop is not aimed at children under 16, and we do not knowingly collect their data.

9. Security

We use secure (HTTPS) connections and trusted providers to protect your data, and we limit access to the people who need it to process your order.

10. Cookies

Cookies are small files that a website stores on your device. We use them to make the shop work and, only if you agree, to measure how the website is used and to show you relevant advertising.

Types of cookies we use

  • Strictly necessary cookies: keep your cart, let you check out securely, protect the website and remember your cookie choices. These do not need your consent.
  • Preference cookies: remember settings such as your language or currency.
  • Analytics cookies: help us understand how visitors use the website so we can improve it (for example Shopify's own analytics and Google).
  • Marketing cookies: used by Meta (Facebook and Instagram) and Google to measure our advertising and show you relevant ads.

Preference, analytics and marketing cookies are only set if you accept them in the cookie banner shown when you first visit the website.

Some cookies are set by us (first-party cookies) and others by the services listed above (third-party cookies). Session cookies are deleted when you close your browser; persistent cookies stay on your device until they expire or you delete them.

How to change your choice

You can withdraw or change your consent at any time by deleting the cookies for vairok.com in your browser settings; the cookie banner will then appear again on your next visit. You can also block or delete cookies in your browser:

Most browsers also have a private mode (Incognito in Chrome, Private Browsing in Firefox and Safari, InPrivate in Edge) that deletes cookies when you close the window. If you block all cookies, parts of the shop, such as the cart and checkout, may not work.

11. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
